PEA is a limited company based in London, United Kingdom. We are responsible for this website (www.wearepea.co.uk) and its subdomains.

Our Approach to Privacy

We use use a range services to publish our work, tell people what PEA is up to, listen to what you have to say, and learn how we can improve at doing all three.

Like most businesses we rely on partners to provide the services and tools we cannot make for ourselves. We use industry standard products. WordPress provides our content management system or 123-Reg our web hosting.

This policy is an easy to read explanation of what these services are, who provides them, and how we handle data for visitors to our website. PEA also provides clarity on how we handle potential and existing clients and job applicants.

PEA is a new business, however it is our belief that data should only be collected if we absolutely need to.

Our data collection is minimal and will always be minimal.

There are no cookies (or similar technologies) being used on this website

The fact that our web site does not use cookies does not mean that personal data is not being collected.

We use two technology providers for operational services – the basic infrastructure and maintenance of the PEA site. Hosting is supplied by 123-Reg and content management by WordPress.

Personal data will be collected on their servers as logs. The logs will contain:

  • IP address truncated
  • Timestamp of visit
  • Country of visit
  • Referrer
  • Operating system
  • Browser
  • Screen resolution
  • Device type
  • Device brand and model
  • Pages visited during session

WordPress as a default collects visit data, so we can see how many visitors we have had (or not had!), what they looked at etc.

Leaving a comment on a post

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

What will PEA use this data for?

The data collected and stored in the servers will assist PEA and our suppliers maintain and improve data security.

The lawful basis for processing data for the purpose of security is legitimate interest.

The servers are located in Leeds, United Kingdom.

Contact Page on this website

The site will collect information provided directly by the user to generate an inbound contact and receive a solicited response.

This page – https://www.wearepea.co.uk/say-hello/ – has a contact form to collect information directly from people who choose to use it.

The intention of the page is to generate new business leads, hear from interesting people, receive opportunistic job enquires or have interesting suppliers tell us about their services.

The contact form has four fields for collecting information. The information collected is

  1. First name
  2. Surname
  3. email address
  4. What you want to talk to PEA about

The submitted information is delivered to a PEA email address where it can be read by the company founders, they will get back in touch with via their own PEA email address to continue the conversation.

PEA email is provided by Microsoft 365. The original email will be stored on Microsoft Outlook servers (located in the EEA).

No unsolicited PEA contact (newsletters, alerts, marketing messages) will be sent to anyone who uses the form. PEA’s contact management system is provided by HubSpot (located in the EEA). The personal information provided by new business leads, interesting people, job hunters or potential suppliers via the “say hello” form will be entered into HubSpot.

Prospective Clients

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

When you contact us using this website, if we meet at an event or via a social media platform, we process the following data:

  • Name, role/title and contact data
  • Data about the business and its business activities
  • Documents about topics, projects or enquiries, and contacts/messages, meetings and communications.

We process this data to maintain our relationships with our clients, and to enable PEA’s to create business strategy, planning and make informed operational business decisions.

For these purposes the data is processed on the basis of legitimate interest.

Without making this overly complex. The data is processed using the following systems provided by suppliers:

  • Microsoft 365 as documents in the office suite and email in Outlook
  • Dropbox and WeTransfer for document management and sharing
  • HubSpot for contact and relationship management
  • Google applications.

Clients

PEA processes the following data about its clients:

  • Name, role/title and contact data
  • Data about the business and its business activities
  • Documents about topics, projects or enquiries, and contact, meetings and communications.
  • Billing and payment data

We process this data to operate as a functioning business.

To fulfil the contracts we have in place with our clients and so provide and bill our services to them.

We process this data to maintain our relationships with our clients, and to enable PEA’s to create business strategy, planning and make informed operational business decisions.

For these purposes the data is processed on the basis of legitimate interest.

Without making this overly complex. The data is processed using the following systems provided by suppliers:

  • Microsoft 365 as documents in the office suite and email in outlook
  • Dropbox and WeTransfer for document management and sharing
  • HubSpot for contact and relationship management
  • Google applications
  • Xero

PEA financial operations are supplied by Alwyns LLP. Alwyns have administrator access to PEA’s Xero accounting software to assist in the management of PEAs accounts and financial records.
